Manifests
A single manifest, covering both passengers and crew/staff, must be submitted directly by the vessel through the Entry Control Portal at least 72 hours before arrival in South Georgia. This page explains what is required, how to complete the template, and how to submit it.
The manifest requires a valid permit number for every passenger and crew/staff member who needs one. Make sure all visitor and work permits have been applied for and received before attempting to complete the manifest. It is the responsibility of each vessel to collate all passenger and crew permit numbers.
Tip: Permits are sent to the email address provided at the time of application. If passengers apply themselves, please ask them to check their junk and spam folders if permits do not arrive in their inbox.
Always download the most recent version of the manifest template. Using an outdated template may result in your submission being rejected.
Important: The template must be downloaded to your computer and opened in Excel or equivalent spreadsheet software. Opening the file directly in a browser removes its functionality and the file will not work correctly.
Manifests must contain all passenger and crew/staff details - separate manifests for passengers and crew are not required but can be submitted separately. Manifests must be submitted at least 72 hours before arrival. The template contains instructions for completion - hover over cells for guidance on what to enter.
The manifest requires a valid permit number for each passenger who holds a visitor permit, and for each crew or staff member who holds a work permit. Manifests submitted with missing permit numbers cannot be accepted.
Note: Those qualifying for deemed permission (HM Armed Forces, GSGSSI staff, UK Government staff, BAS staff, and ship's crew on operational duties) do not require a permit number on the manifest.
Use the online validation checker to check your completed manifest for errors before submitting. This helps identify any issues in advance and avoids delays.
Manifest Validation Checker →Once complete and validated, the manifest is submitted directly by the vessel through the Entry Control Portal. It must be received at least 72 hours before the intended date of arrival in the Territory.
Bulk applications: If permits were applied for in bulk using a single email address, it is the vessel's responsibility to ensure that individual permit numbers have been distributed to passengers.
